BATCHING
Batching is a method for collecting all completed answer sheets and returning them in a single package (batch) to the scoring center. Special gray envelopes are provided to protect the confidentiality of the respondents.
Because of potential delays in mail service, all assessment packages completed outside the U.S.A. should be returned in a single batch by an express air service.
Batching can also be used to expedite the assessment process.
Preparing Assessment Packages for Batching
- Remove the outer shrink-wrap covering form each assessment package, being careful not to cut the inner shrink-wrap covering. The business-reply envelopes will then fall away.
- Discard the business-reply envelopes and replace them with an equal number of gray envelopes.
- Label the gray envelopes with information that will help respondents return their completed answer sheets to a central collection point. Proceed with the directions to Assign the Assessment Packages.
Return Batched Answer Sheets
- Collect the answer sheets, leaving the envelopes sealed and intact.
- Bundle the envelopes into a single batch if possible.

Batching Tip
If you are batching answer sheets, consider putting the participant's name on the outside of the gray envelope as a way of tracking responses. Avoid using any type of code, which may be perceived as violating confidentiality.
Batching Envelopes
If you did not request batching envelopes at the time of your initial order, the most expedient option is to substitute any 9x12 sealable envelopes and mark them "Confidential." You can also order the gray batching envelopes from Blanchard for a small charge plus shipping fees.
